If a block is missing, you have not simplified the quote — you have transferred a risk from the customer to yourself. Their assumption fills the gap, and their assumption is rarely the cheaper one for you.
The omissions that quietly leak margin
Most margin does not leak on the obvious line items. It leaks on the things nobody wrote down. Four omissions account for the bulk of it:
- Revision not called out. You quote rev B, the customer releases the PO against rev D, and the added feature is now "part of the job" because your quote never pinned the revision. Naming the revision and date in the header makes a scope change a scope change — a new quote, not free work.
- Inspection priced as an afterthought. A first-article inspection report, a CMM run on a true-position callout, or full dimensional with a cert is real labor. If the scope statement does not name the inspection level, the customer assumes the highest one and you absorb the difference.
- Freight and packaging unaddressed. "Ex-works or delivered?" decided after the fact almost always lands against the shop. State the delivery term and who pays freight. Custom crating for a fragile weldment is a line item, not a courtesy.
- Surface finish and secondary processes left vague. "Deburr" and "bead blast to a uniform finish" are different costs. Plating, anodizing, powder coating, passivation, and heat treat sent to an outside vendor carry markup and lead time that belong in the quote, not buried in your overhead.

Why a validity period is no longer optional
A quote with no expiry is an open-ended promise on a price you no longer control. Steel, aluminum, and stainless can move sharply between the day you quote and the day a customer finally releases a six-month-old quote — and they expect the old number to stand.
A stated validity period — 30 days is the common default, shorter for volatile alloys or long-lead castings — does two jobs. It protects the margin you calculated against material moves you cannot predict, and it gives your follow-up a reason to exist: "your quote expires Friday" is a legitimate nudge that moves a stalled RFQ without discounting. For anything with a long material lead time, add a line that pricing is subject to mill confirmation at order. That single sentence has saved more margin than most pricing tweaks.
PDF vs. email: the professionalism signal
The same numbers land differently depending on how they arrive. A price typed into the body of an email reads as provisional — easy to misquote, easy to lose, impossible to hand cleanly to a purchasing department.
